Duplicating events in Outlook
How the "Duplicate event" feature works alongside your AskCody Services and Visitors
How "Duplicate event" and the new copy/cut/paste shortcuts work alongside your AskCody Services and Visitors
Microsoft Outlook now offers several ways to copy, duplicate, or move a meeting in your calendar:
- Right-click an event and pick Duplicate event to create a copy you can edit.
- Use Ctrl+C to copy an event and Ctrl+V to paste it in a new time slot.
- Use Ctrl+X to cut an event and Ctrl+V to paste it elsewhere.
The keyboard shortcuts (Ctrl+C, Ctrl+X, Ctrl+V) arrived in New Outlook for Windows in late 2025 (Microsoft 365 Roadmap). With Microsoft moving Enterprise users into the opt-out phase of New Outlook for Windows from April 2026, more people across your organization will start using these methods in their day-to-day calendar work.
All three methods create a brand-new meeting in Exchange, with its own new meeting ID. That has implications for any Service Requests and Visitors lists you've already set up, and this article walks through what to expect.
Copying, duplicating, cutting, or pasting an event
When you copy, duplicate, cut, or paste an event, Outlook creates a brand-new meeting in Exchange with its own new meeting ID. This is true for all of these methods:
- Right-click → Duplicate event in New Outlook for Windows or Outlook on the web
- Ctrl+C then Ctrl+V in New Outlook for Windows or Classic Outlook for Windows
- Ctrl+X then Ctrl+V in New Outlook for Windows or Classic Outlook for Windows
- Ctrl + drag in Classic Outlook for Windows
What carries over to the new event
All the information that lives in the Outlook meeting itself comes with the new event:
- Subject, body, and meeting description
- Attendees, with required and optional flags
- The meeting room (it travels along as an Outlook attendee)
- Teams meeting link if one was added
- Categories and reminders
The new event looks like the original at first glance, and most people work with it the same way.
What stays with the original event
Service Requests placed through the AskCody Services Add-in and Visitors registered through the AskCody Visitors Add-in stay with the original event. They are not copied across to the new meeting.
This is because AskCody links each Service Request and Visitor list to the meeting's unique ID in Exchange. That same link is what powers follow the meeting logic, keeping everything in sync when you reschedule, move, or update a meeting. The new event has its own new meeting ID, so AskCody treats it as a fresh meeting with no services or visitors attached yet.
If the new meeting needs the same catering, AV setup, or visitor list as the original, just add them again from the AskCody add-ins on the new event. The steps below cover it.
How to duplicate, copy, or cut an event
In New Outlook for Windows
You can use any of these methods:
- Right-click the event and select Duplicate event, then adjust the date, time, and any other details on the new event.
- Select the event, press Ctrl+C, click the date and time you want the copy to land on, and press Ctrl+V.
- Select the event, press Ctrl+X, click the new slot, and press Ctrl+V.
Click Save or Send when you're done.
In Outlook on the web
Right-click the event and select Duplicate event, then adjust the date, time, and any other details on the new event. Click Save or Send when you're done.
A note on Classic Outlook for Windows
Classic Outlook does not support copying or duplicating meetings on the calendar. Trying to do so brings up a pop-up explaining that meetings cannot be copied. If you're on Classic Outlook and need a similar meeting on a new date, create a new meeting from scratch, or switch to New Outlook for Windows or Outlook on the web for the copy.
Adding services and visitors to the new meeting
Once the new meeting has the right date, time, and room, set up the AskCody add-ins on it:
- Open the new meeting in your Outlook calendar.
- Open the AskCody Services Add-in from the Outlook ribbon and place any service requests you need. The article Getting started with the AskCody Services add-in for Outlook covers this in more detail.
- Open the AskCody Visitors Add-in and register your guests. See How to use the AskCody Visitors Add-in for Outlook.
- Click Send so the room confirms and AskCody picks up the new meeting.
From here on, follow the meeting logic applies to the new meeting like any other. Any future change to the date, time, or room will keep your services and visitors in sync automatically.
A few good habits
A few small things make these workflows smoother for AskCody users:
- To keep Service Requests and Visitors attached, reschedule the original meeting instead of copying or cutting it. Drag the meeting to a new slot, or open it and change the date and time. The Exchange meeting ID stays the same, so follow the meeting logic keeps everything in sync.
- Set the new date and time first, then add services and visitors when you've created a copy. Service deadlines and opening days apply to the new meeting's date, not the original's.
- For repeating meetings, consider a recurring series. AskCody can apply servicxes for recurring meetings per meeting instance.
- Confirm the room accepted. Any new event you create this way sends a fresh booking request to the room, and the room responds based on its availability and policies, just like any new meeting.
FAQ
Are my catering and AV requests on the new meeting after I copy, duplicate, or cut and paste it?
No, those stay with the original event. The Services Add-in links each request to a specific meeting ID, and the new meeting has its own new ID. Open the Services Add-in on the new meeting and place the requests again.
Are my registered visitors on the new meeting after I copy, duplicate, or cut and paste it?
No, those also stay with the original. The Visitors Add-in registers guests against a specific meeting ID. Open the Visitors Add-in on the new meeting to register them again.
Does Ctrl+X (cut) move the original meeting or create a new one?
Ctrl+X removes the meeting from its original slot, and Ctrl+V creates a new meeting in the new slot, with its own new meeting ID in Exchange. For AskCody, treat this the same as copying or duplicating: any Service Requests or Visitors on the original event need to be added again on the new event.
How do I keep Service Requests and Visitors attached to a meeting I'm moving?
Reschedule the original meeting instead of copying or cutting it. Drag it to a new slot in your calendar, or open it and edit the date and time. The Exchange meeting ID stays the same, so follow the meeting logic keeps your services and visitors in sync automatically.
Does the meeting room get booked on the new event?
Yes. The room is added as an Outlook attendee on the new event, so it receives a fresh meeting request and responds based on its availability and booking policies. As with any booking, double-check that the room actually accepted.
Can services and visitors follow a copied or duplicated event automatically?
No. Copying, duplicating, and cutting all create a new meeting in Exchange with no link back to the original, so there's nothing for AskCody to follow. If you'd like services and visitors to follow along automatically, work with the original meeting (reschedule, edit, or use a recurring series) rather than creating a new one.
