Learn about the different updates sent by AskCody when placing, or changing a service request
AskCody Services keeps everyone informed by sending automated notifications when service requests are placed, updated, readied, rejected, or canceled. These notifications ensure that meeting organizers and service providers stay up to date on the status of their service requests, helping streamline workplace operations and reducing miscommunication.
Notifications sent to the meeting organizer
You have created a request
This notification is sent when a request has been sent to the service provider. The status of a request at this point can be Accepted (if the provider is configured to automatically accept service requests) or Pending (if the provider has yet to accept, or reject the request).
Your request has been accepted
This notification is sent when the service provider has accepted the request. It will not be sent when the provider is configured to automatically accept service requests.
Your request has been rejected
This notification is sent when the service provider manually rejects the request. A request cannot be rejected automatically.
Your request has been updated
This notification is sent when a request is updated. Requests will be updated in the following scenarios:
- The meeting organizer makes changes to the request via the Services add-in for Outlook after having placed the request
- The service provider manually makes changes to the request via the Services portal
- The meeting has been rescheduled
- The meeting's location has been changed and the provider is configured to deliver requests to the new location
In any case, the case for the request to be updated is placed on the body of the notification e-mail sent. In the example above, the reason was: 'Catering services made changes to the request', where 'Catering services' is the name of the provider.
Your request has been readied
This notification is sent when the service provider manually marks the service request as ready.
Your request has been detached
This notification is sent when a meeting is rescheduled (or their location gets changed) after the provider had either made it ready, or after the configured preparation deadline for placing service requests was exceeded.
Example: If the deadline to place service requests from a provider is set to 24 hours before the meeting start, and the meeting gets rescheduled 6 hours before it starts, the request will be detached from the meeting, as the provider has either started preparing it, or made it ready, and it will not follow meeting changes from now on.
Your request has been cancelled
This notification is sent to the meeting organizer when one of the following criteria are met:
- After having placed a service request, the meeting's location was changed to a meeting room that declined the meeting invite
- After having placed a service request, the meeting's location was changed to a meeting room that the provider is not configured to deliver service requests to
- After having placed a service request, the location gets removed from the meeting in Outlook or Teams
- After having placed a service request, the meeting got cancelled
Notifications sent to the provider
A request has been placed
This notification is sent to the service provider when a meeting organizer has placed a request from the Services add-in in Outlook.
The request has been updated
This notification is sent to the provider when a meeting organizer, or an admin either:
- Updates the request from the Services add-in in Outlook, by either adding or removing items from it
- Reschedules the meeting within the provider's deadlines for placing a service request, or change the location to a meeting room that the provider is configured to deliver service requests to
- Updates a previously cancelled request from the Services add-in for Outlook, after having solved the reason for cancellation. The request then becomes active again and the status can be either Accepted (if the provider is configured to automatically accept service requests) or Pending (if the provider has yet to accept, or reject the request).
The request has been cancelled
This notification is sent to the service provider in the following scenarios:
- The meeting organizer cancelled the request from the Services add-in in Outlook
- The request's meeting room was removed from the meeting after having placed the service request
- The meeting was cancelled
