Add and Manage Expected Visitors
Learn how to register and work with expected visitors in the AskCody Visitor Management module
An expected visitor lets the front desk prepare for an arrival in advance. Create a visitor profile once, and you can quickly mark that person as expected for a future visit.
Create an expected visitor

Go to the Visitor tab

Click New visitor and complete the profile. The visitor now appears in the list.

In the list, click EXPECT next to that visitor to mark them as an expected visitor
For a quick overview of everyone expected, open Manage expected visitors in the menu at the left.
Add an expected visitor
Any visitor already registered in your reception can be marked as expected, handy for frequent external guests.

Open Manage expected visitors

Select the contact from the dropdown (the list contains people who have visited your organization before)

Fill out the form

Click Add
This registers the visitor for the reception and adds them to the Current Visitors list, where the front desk can check them in/out, print labels, and add notes to the visit.
Delete an expected visitor
Expected visitors that have not checked in yet, can be deleted from the 'Manage expected visitors' list, useful for cases when a visitor that was manually registered at the reception cancels, or postpones their visit to another day (Visitors registered via the Outlook add-in are associated to a meeting, and will follow any rescheduling or cancellations).
- Open Manage expected visitors
- Find the visitor that you want to delete, and click on their names
- Click on Edit at the right of the screen
- Click on the Delete button at the bottom
The expected visitor will now be deleted and not appear in the Manage expected visitors list, or the Current Visitors list showing upcoming visitors.
Deleting an expected visitor does not delete the Visitor data from your Visitors list. To learn how to automatically anonymize Visitor data, please visit this article.
