Learn how to invite users with Admin access into the AskCody Management Portal
When signing up on the AskCody Management Portal you were granted the AskCody Owner role that has access to everything in AskCody, including creating new users and inviting your team or organization.
We recommend that you start by inviting other Askcody Admin users to join you in the setting up part.
Adding and inviting end-users are explained in the implementation of Phase 3.
- Log in to the AskCody Management Portal with the credentials created when creating your organizational account on the signup page. Choose EU or US.
- Click the menu tab in the upper left corner.
- Go to the Admin Center.
- In the Admin Center, click Users and choose Users.
- Click Add and type in the information about the user you are about to invite.
When sending the invite, the new user can decide their own password. Therefore, we recommend leaving the password empty inviting the user.
First name, last name, and email is the name and email address of the user you are about to invite.
Language and time zone can be used if the user wants a different language than configures globally or on that specific location (also called User Level language settings). This can be edited by the user after inviting the user and is not mandatory.
Roles define which modules and features the user can access. To use the AskCody Management Portal, each user is granted a set of roles and memberships. These roles determine what the user is able to view, access, and control when logged in to the Management Portal or using the add-ins for Outlook and Office 365. In this article you will learn everything there is to know about User Roles and Memberships and we recommend that you spent some time going through the different roles and how they should be applied to the users in your organization.
Though we have gathered some of the most important AskCody Admin Roles here, to explain a little further, and recommend to invite at this stage of the implementation:
AskCody Owner (Super Admin)
Ability to manage and configure all modules, invite users, and grant access to all modules and features in the Admin Center in the AskCody Management Portal.
Use: This role is by default granted to the first user that is created in the AskCody Management Portal signing up. It is highly recommended that this role is only granted to admin users that is responsible for your AskCody services. You can have multiple AskCody Owners.
Admin of the Services features. Ability to manage and edit all settings and features in the Services Portal.
Use: The user with this role will be able to create, edit and view requests, items/services, categories, terms, cost centers, and cost center groups.
It is highly recommended that this role is only granted to the user responsible for meeting services in your organization.
Admin of the Visitor Management features. Ability to manage and edit all settings and features in Visitor Management Portal.
Use: The user with this role will be able to create, edit, and view check-ins, visitors, and hosts in the Visitor Management Portal. The Visitors administrator will also be able to customize the text and messages on the Check-in Kiosk, in the host/visitor email, and in the host/visitor SMS.
AskCody supports integration with (Azure) Active Directory for automated user management and assignment of roles. AskCody integrates with Active Directory and Azure Active Directory. Integrating AskCody with one of the two Identity Management services allows you to use your AD to manage users, and provision the right roles and memberships to the right users and user groups.
We highly recommend that you continue and finish your configuration of the full AskCody Platform, before integrating AskCody with Active Directory, and perform this step in Phase 3, Deploy.
Integrating with one of the services, user management is completely handled and managed through AD. All manually applied users or user settings will be overwritten by AD.
